Care Home Compliance Software | Risk Management & Food Safety

Strengthening Food Safety and Health & Safety Oversight Across Our Care Homes

As Managing Director of Fylde Care Group, I knew we needed better care home compliance software.

Ultimately, compliance responsibility sits with me. However, paperwork alone is not enough. I needed clear oversight of food safety, health and safety, fire safety and environmental risk across all our homes.

The turning point came after a routine lift inspection.

An engineer identified a risk in the report. We had maintenance in place. We had received the paperwork. On paper, we were compliant.

However, the risk was hidden in technical language. It was not clearly flagged. As a result, it could easily have been overlooked.

Thankfully, no resident came to harm.

Even so, the situation raised an important question:

If one risk could be hidden in a report, what else might we be missing?

From that moment, we changed our approach. We needed to implement structured care home compliance software to improve visibility and control.

The Reality of Environmental Risk in Care Homes

In care, we invest heavily in digital systems for clinical care. Yet environmental risk often sits in separate places.

For example:

  • Food safety documentation sits in one location.

  • Health and safety records sit in another.

  • Lift inspection reports remain in email attachments.

  • Fire risk assessments stay in folders.

  • Water hygiene certificates are filed separately.

  • COSHH data sheets sit elsewhere again.

As a result, systems become fragmented.

Yet regulatory expectations remain consistent.

Care homes must meet standards set by:

  • Food safety legislation overseen by the Food Standards Agency (FSA)

  • Fundamental Standards regulated by the Care Quality Commission (CQC)

  • Fire safety duties under the Regulatory Reform (Fire Safety) Order 2005

  • Hazardous substance controls under COSHH Regulations

  • Workplace health and safety legislation monitored by the Health and Safety Executive (HSE)

Importantly, these bodies expect more than policies. They want proof that leaders identify, track and manage risk.

Therefore, manual systems are no longer enough. This is especially true for multi-site organisations.

The lift incident proved one thing:

Documents do not equal oversight.

Why We Invested in Care Home Compliance Software

First, it had to be simple. Managers are busy. Systems should support them, not slow them down.

Second, it needed to provide clear visibility of risk. I wanted managers to understand issues quickly, without having to interpret technical reports.

Third, it had to reduce system fatigue. Too many platforms create confusion. Therefore, we needed one solution, one system and one login.

Specifically, I wanted:

  • Centralised food safety software

  • Health and safety tracking in real time

  • One compliance dashboard

  • Automated alerts

  • Clear inspection visibility

  • Access to regulatory expertise

Most importantly, I wanted software that translated complex reports into clear actions that was easy to use for busy managers.

That decision led to the development of A Safer Risk.

A Personal Investment in the Solution

Following the lift incident, I knew we needed more than an off-the-shelf system.

In August, together with my business partner, I invested in Safer Food Scores to support the development of a new risk management platform — A Safer Risk — built specifically to solve challenges like the one we experienced within Fylde Care Group.
